Marketing emails include an unsubscribe option. Certain operational messages such as appointment reminders, receipts, and access notices may still be sent when necessary to deliver a purchased service.

These providers receive only the information reasonably needed to perform their services and operate under their own terms and privacy practices.

Session Recording and Transcription

A live coaching session, consultation, class, or private conversation will not be audio recorded, video recorded, or transcribed through an AI-assisted tool without advance notice and the participant's appropriate consent.

Privacy and Data Minimization

ROSHHCO will make reasonable efforts to limit the personal information entered into AI tools and to use only the information reasonably necessary for the stated business purpose. Highly sensitive information should not be entered into a general-purpose AI system unless specifically disclosed and consented to.

Human Review

ROSHHCO will not use AI as the sole basis for diagnosing a condition, assessing crisis risk, making a clinical decision, or replacing an appropriate referral to a licensed professional.

Coaching Confidentiality

ROSHHCO treats coaching information as private and uses reasonable safeguards. Confidentiality may be limited when disclosure is required by law, necessary to respond to a credible and immediate safety concern, or needed to address suspected abuse where reporting duties apply.

Technology Limitations

Email, text messaging, video platforms, cloud storage, online forms, and payment systems involve third-party technology and cannot be guaranteed completely secure. Clients should use appropriate privacy settings and avoid sending highly sensitive information through unapproved channels.

Record Retention

ROSHHCO may retain agreements, attendance records, payment records, session notes, intake forms, and communications for business, legal, tax, quality, or continuity purposes. Records will be retained only as reasonably necessary under applicable business and legal requirements.
